The Accounts Receivable Statement Run is useful for the mass generating of Customer statements, and sending these statements as email attachments directly to clients. This article explains how process a Statement Run in Sage Evolution.
- First, navigate to Accounts Receivable, Transactions, and then Statement Run. This will open up the Accounts Receivable Statement Maintenance screen.
- On the Maintenance screen, you can view the already created Statement Runs, or you can create a new one. In this case we are going to create a new one. Click on "Process Statement Run" to open up the dialog screen.
- On the dialog screen, you can set Report options, specify report filters, add Messages for the Statements, and select the Layout for the statement.
- Options
- Options gives you different reporting options, such as the date range and options to filter out specific balances.
- Report
- The Report tab allows you to filter the run on mulitple data fields, for instance Customers and Customer Groups.
- Messages and Other
- On the messages tab, you can add the Messages to add on the Statement, based on the Ageing period. The ageing periods correspond with the following periods:
- Age 1: Current
- Age 2: 30 Days
- Age 3: 60 Days
- Age 4: 90 Days
- Age 5: 120 Days
- Age 6: 150 Days
- Age 7: 180 Days
- These messages will be printed on the Layout
- On the messages tab, you can add the Messages to add on the Statement, based on the Ageing period. The ageing periods correspond with the following periods:

- This section allows you to select the Layout to use the Statement
- Options
- When ready, click on "Statement Run" to generate the Statement Run. Do note that running the report can take some time, depending on the amount of data and transactions. This wil generate a new Statement run on the overview.
- To view this statement run, double click the run. This will open up the Printing and Emailing screen.
- On the Print screen, you first need to retrieve all the Statements. You can either add a filter, or click on "All" and hit "View Statements".
- This will give you a list of all the Accounts Receivable, the emailadress of the Client, and a PDF preview button. To email all the created Statements, click "Include" for specific statement (or "Include All") and hit "E-Mail Included Statements"
- This will open the "E-mail Options". You can fill out the Subject and Body of the email on this dialog. After clicking "OK", the email will be sent.
